This Privacy Policy explains how Digital Hive, LLC (“Digital Hive,” “we,” “us,” or “our”), the operator of the Automate What brand and the website at automatewhat.com (the “Site”), collects, uses, and protects your information. We respect your privacy and are committed to protecting your personal data. By using the Site or contacting us, you agree to the practices described here.

Who we are

Automate What is an AI and automation consultancy operated by Digital Hive, LLC. Digital Hive also operates CallNeo, a separate brand with its own website and its own privacy policy. If you have any questions about this policy or your information, contact us at mason@automatewhat.com.

Information we collect

  • Personal identification information — name, email address, phone number, business information, and anything else you choose to send us or enter when booking a call.
  • Technical data — IP address, browser type, device characteristics, and server log files.
  • Usage data — pages and sections viewed, links clicked, and interactions with our chatbots and voice assistant.
  • Voice data — see “Voice assistant and microphone audio” below.

Voice assistant and microphone audio

The Site offers an AI voice assistant. It is off by default. It captures audio from your microphone only after you open the assistant, press the microphone button, and grant your browser's microphone permission. You can end the call at any time with the hang-up button, mute the microphone without ending the call, or revoke the permission in your browser settings.

When a call is active:

  • Your microphone audio is streamed in real time to Trillet AI, a third-party voice-agent provider, which processes the audio to generate the assistant's responses. Audio is carried over an encrypted WebRTC connection.
  • Calls are recorded, and speech is transcribed to text. Before each call starts, the assistant asks you to agree to this; if you don't, no call is made. The transcript is shown to you in the assistant panel during the call, and the recording and transcript may be retained by Trillet and by us to operate, debug, and improve the assistant.
  • Anything you say is treated as information you have submitted to us. Please do not share payment-card details, government identifiers, health information, or other sensitive personal data with the voice assistant.
  • The voice SDK generates a device fingerprint — a hash derived from stable browser and hardware characteristics — and stores it in your browser's local storage. It is used to enforce usage limits and prevent abuse of the free demo, not to build an advertising profile. Clearing your browser's site data removes the stored value.

Trillet processes this data as our service provider, under its own privacy terms. If you would rather not have any audio captured, simply don't start a call — every other part of the Site works without it, and you can always reach us by email or by booking a call.

How we use your information

  • To provide, maintain, and improve our services
  • To respond to enquiries and provide customer support
  • To facilitate scheduling and appointments
  • To offer and deliver free resources, such as templates and tutorials, when requested
  • To operate and improve our chatbots and voice assistant
  • To analyse usage so we can improve the Site
  • To detect, prevent, and address technical issues and abuse
  • To notify you about material changes to our services

Cookies, analytics, and tracking technologies

We use cookies and similar technologies to understand how the Site is used. Specifically:

  • Google Analytics 4 sets cookies (typically _ga and _ga_*) that store a randomly generated identifier used to measure visits and on-page interactions. This data is processed by Google; see Google's Privacy Policy and Google's opt-out browser add-on.
  • Vercel Analytics and Speed Insights collect aggregated, privacy-friendly traffic and performance measurements. They do not use cookies to track you across sites.
  • Local storage is used for the voice assistant's device fingerprint (described above) and to remember that you have already seen the assistant prompt.

You can instruct your browser to refuse cookies or to tell you when one is being set. Some parts of the Site may not function as intended if you do.

Sharing your personal data

We may share your data with third-party service providers who perform services on our behalf — including scheduling (Google Calendar), email communication, analytics (Google, Vercel), hosting (Vercel), and voice-agent processing (Trillet AI). We may also share data where we are required to do so by law, or where it is necessary to protect our rights and property. We do not sell your personal data.

Some links on the Site are affiliate links. If you follow one, the destination site may set its own cookies to attribute the referral, and we may earn a commission. Those sites are governed by their own privacy policies, not this one.

Data security

We take the security of your data seriously and implement appropriate measures to prevent unauthorised access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Data retention

We retain personal data only for as long as is necessary for the purposes set out in this policy, or for as long as required to meet legal, accounting, or reporting obligations. Call transcripts and voice-assistant logs are retained only as long as needed to operate and improve the assistant.

Children's privacy

Our services are not directed to anyone under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.

International transfers

Your information, including personal data, may be transferred to and maintained on computers located outside your state, province, or country, where data-protection laws may differ from those in your jurisdiction.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or restrict the processing of your personal data, and to object to certain processing. To make a request, email us at mason@automatewhat.com and we will respond within the timeframe required by applicable law.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the “Last updated” date above.
